Map Services, referred to as "Company", "we", "us", or "our", operates the MAP HMS platform, including the mobile applications MAP Vidyarthi (student app), KARTA or MAP HMS Staff (staff app), and the website https://mapservices.in.

Scope and Roles

MAP HMS is used within college and hostel ecosystems. User accounts are typically created and managed by institutions through authorized administrators.

Depending on the context, your institution may act as the primary controller of student and staff operational data, and Map Services acts as a service provider and platform operator.

Personal Data We Collect

We may collect the following categories of personal data:

  • Account and Identity Data: name, phone number, email address, role, institution and hostel association, and account identifiers.
  • Operational Data: room allocation details, attendance and access events, leave and out-pass records, guest entry records, tickets and requests, notices, and role-based activity logs.
  • Technical Data: device type, operating system, application version, push notification token, IP address, session metadata, diagnostics, and crash logs.
  • Website Usage Data: when using the website, we may collect cookie and usage data required for functionality, analytics, and security.

How We Collect Data

  • From institutions and authorized administrators
  • From users during application usage
  • Automatically from service logs, diagnostics, and security monitoring

Account and Data Deletion for MAP Vidyarthi and KARTA

Users can initiate deletion from within the app by navigating to:

Profile → Request Account Deletion → Confirm

After request submission, the account enters a deletion workflow with statuses such as:

  • Requested
  • Processing
  • Completed

Access may be revoked as part of this process.

Data that is not legally required is deleted or anonymized.

Data that must be retained under applicable law or institutional obligations is retained in archived and access-restricted form for the required duration.

Alternative Deletion Request Channel

If in-app access is unavailable, users may request deletion through support after verification of registered details and institution identity.

User Rights

Subject to applicable law, users may request:

  • Access to their personal data
  • Correction of inaccurate data
  • Deletion where legally permissible
  • Grievance or support assistance

For institution-managed records, requests may need to be processed through the relevant college or hostel administrator.

Security

We apply reasonable technical and organizational safeguards, including access controls and monitoring, to protect personal data.

However, no system can be guaranteed to be completely secure.

Children and Minors

The service is intended for authorized institutional use. Where minors are involved, processing is handled under institutional authorization and applicable law.
